Job Description:
We are seeking a highly organized, proactive, and detail-oriented Virtual Executive Assistant to support our CEO and act as our business liaison in China. The ideal candidate will have experience in a similar role, possess professional-level proficiency in Mandarin, and be comfortable working in a fast-paced, dynamic environment. This is a full-time, remote position with responsibilities that require strong communication skills and the ability to coordinate between teams across regions.
Responsibilities:
- Manage and maintain the CEO’s calendar, including scheduling meetings and coordinating with international teams
- Act as a liaison between the company and business partners in China, ensuring clear communication and follow-up on tasks
- Coordinate travel arrangements, including visa applications, itineraries, and accommodations for the CEO and team members
- Prepare and edit correspondence, reports, and presentations in both English and Mandarin
- Manage and prioritize incoming communications (emails, WeChat, etc.), responding in a timely and professional manner
- Organize and manage files, contracts, and important documents, maintaining accurate records
- Handle confidential information with the utmost discretion
- Provide administrative support as needed, including research and analysis to support decision-making
- Stay up-to-date with relevant regulations and business practices in China
- Assist with event planning, partnership management, and cultural support for delegations or meetings
- Conduct research on local markets, competitors, and business opportunities
Qualifications:
- 3+ years of experience as an Executive Assistant, Business Manager, or similar role
- Professional proficiency in Mandarin; Cantonese is a plus
- Strong organizational and time management skills, with a proven ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills in both English and Mandarin
- Proficient in Google Business Suite; experience with Notion, Canva, and newsletter platforms is a plus
- Experience working remotely and independently
- Strong attention to detail and ability to handle confidential information with discretion
- Bachelor’s degree or equivalent experience
- Strong research skills, with the ability to gather, analyze, and present information quickly
- Familiarity with Chinese business culture and regulatory environment is a strong advantage

资格:
- 拥有3年以上执行助理、业务经理或类似职位的经验
- 具备专业水平的普通话;会粤语者优先
- 拥有较强的组织和时间管理技能,具备多任务处理和有效优先处理任务的能力
- 具备出色的中英文书面和口头沟通能力
- 熟练使用Google商务套件;有Notion、Canva及新闻通讯平台经验者优先
- 有远程工作和独立工作的经验
- 注重细节,能够谨慎处理机密信息
- 拥有学士学位或同等经验
- 具备较强的研究能力,能够快速收集、分析并呈现信息
- 熟悉中国商业文化和监管环境者优先
